AGM 2020

The 2020 Annual General Meeting will take place on Wednesday 14th October on Zoom. The Zoom call will open at 19.15 ready to begin at 19.30.

During the meeting the current committee will review band activity since the last AGM and there will be opportunities to ask questions and raise issues for discussion. After that a new committee will be elected; paid-up band members can both stand for a committee position and vote.

Agenda items deadline
Items for the agenda to be sent to the Secretary no later than Sunday 4th October. Any other business will be reserved for items arising from discussion during the meeting to be picked up by the newly elected committee, rather than for discussion during the meeting itself.

Band membership
If your membership of the band expires before the AGM you can pay for your membership by BACS. Contact Maureen at treasurer@arcoiris.org.uk for details of how to do this.

Standing for election to the committee
You can stand for a committee position if you are a paid-up band member. You'll need to be nominated and seconded by two band members as well as elected during the AGM (not as onerous as it might sound!). Committee members serve for one year and up to a maximum three consecutive terms in the same position.

Chair - responsible for arranging and chairing committee meetings, coordinating committee discussion (and decision-making outside of meetings), being the 'public face' of the band when it needs one, ensuring the band’s constitution is adhered to, trouble shooting and mucking in with the other committee jobs.

Treasurer - keeping the band membership list up to date, managing the collection of subs at weekly practices and occasional workshops, banking takings and dealing with banking matters, authorising and arranging payments (for instruments, transport, insurance, subsidies etc.), raising and monitoring settlement of performance invoices, keeping and balancing accounts suitable for financial audit, preparing financial reviews for the committee when required, reporting on the band’s finances at the AGM.

Secretary - sending out agendas in good time for meetings, taking minutes at meetings and distributing them, passing information from the committee to the rest of the band, advising the committee and the band membership on constitutional matters as and when they arise, arranging the AGM.

Musical Co-ordinator - ensuring new pieces are scored and uploaded to the band website, writing and/or encouraging new pieces to be written and taught at practice, encouraging members who are keen to lead by providing advice and leader workshops, co-ordinating the teaching of playing techniques by way of workshops and attendance at samba festivals.

Events Officer (preferably 2 posts, one main and one support) -

Managing the band's calendar of gigs and events, dealing with bookings, recruiting gig/ events managers, emailing and calling regarding the basic organisation of a gig before handing over to gig/ event managers and making sure they're happy with what they're doing.

Webmaster - ensuring that the band website is maintained and kept up to date, maintaining the band email system and band mailing lists, ensuring the band’s details are available on relevant directory listings and social networking sites, producing publicity material i.e. posters, flyers, etc. with help from other members, disseminating news stories and photographs to local media with help from other members.

Instruments Officer - responsible for tuning, maintaining and storing our instruments, organising the purchase of new drums and accessories (including hearing protection), undertaking a stock take of the drums annually.

Costumes Officer  - managing the design and making of costumes, maintaining a supply of band T-shirts and hoodies, maintaining a supply of face paints and accessories, coming up with ideas for our visual image, taking a lead on choreography as/when needed.

General Member (2 posts) - representing the interests of band members at committee meetings and supporting other committee members in their roles as necessary - in the last few years we've had some superstars, filling in as and when needed in many committee roles!
