AGM 2017

The 2017 Annual General Meeting will take place on Wednesday 18th October at 20:40 in the Bath House. Normal band practice will take place between 19:30 and 20:30.

During the meeting, the current committee will review what has happened since the last AGM and the band will have the opportunity to ask questions and raise issues for discussion. After that, a new committee will be elected from among members of the band, and if you are a member you will have the opportunity to vote.

Agenda items deadline
The deadline for submitting agenda items is Wednesday 4th October. To submit an item e-mail committee@arcoiris.org.uk.

Band Membership
If your membership of the band expires before the AGM (check with a committee member if you're unsure) you can renew at practice (pay the person taking subs) in the weeks before the AGM or on the evening itself, although you need to have renewed before the meeting starts.

Standing for election to the committee
You can stand for a committee position if you are a band member. You'll need to be nominated and seconded by two band members as well as elected during the AGM (not as onerous as it might sound!). Committee members serve for one year and up to a maximum three consecutive terms in the same position. Details of each position and their current holder are given below if you'd like to find out more:

Chair - responsible for arranging and chairing committee meetings, coordinating committee discussion (and decision-making outside of meetings), being the 'public face' of the band when it needs one, ensuring the band’s constitution is adhered to, trouble shooting and mucking in with the other committee jobs (currently Hester Carter)

Treasurer - keeping the band membership list up to date, managing the collection of subs at weekly practices and occasional workshops, banking takings and dealing with banking matters, authorising payments (for instruments, transport, subsidies etc), keeping and balancing the books, liaising with the band’s financial auditor, preparing financial reviews for committee when required, reporting on the band’s finances at the AGM (currently Katie Hehir).

Secretary - sending out agendas in good time for meetings, taking minutes at meetings and distributing them, passing information from the committee to the rest of the band, advising the committee and the band membership on constitutional matters as and when they arise, arranging the AGM (currently Kate Leslie)

Musical Co-ordinator - ensuring new pieces are scored and uploaded to the band website, writing and/or encouraging new pieces to be written and taught at practice, encouraging members who are keen to lead by providing advice and leader workshops, co-ordinating the teaching of playing techniques by way of workshops and attendance at samba festivals. (currently Matt Manley).

Events Officer (2 posts, one main and one support) - managing and booking the band's calendar of gigs and events, emailing . calling regarding the basic organisation before handing over to gig / event managers, and making sure they're happy with what they're doing (currently Ahu Dumanli and a Vacancy).

Webmaster - ensuring that the band website is maintained and kept up to date, maintaining the band email system and band mailing lists, ensuring the band’s details are available on relevant directory listings and social networking sites, producing publicity material i.e. posters, flyers, etc with help from other members, disseminating news stories and photographs to local media with help from other members (currently Simon Adcock).

Instruments Officer - Responsible for tuning, maintaining and storing our instruments, organising the purchase of new drums and accessories (including hearing protection), undertaking a stock take of the drums regularly (currently Hannah Jones).

Costumes Officer  - managing the design and making of costumes, maintaining a supply of band T-shirts and hoodies, maintaining a supply of face paints and accessories, coming up with ideas for our visual image, taking a lead on choreography as/when needed (currently Vacant).

General Member (2 posts) - representing the interests of band members at committee meetings and supporting other committee members in their roles as necessary - in the last few years we've had some superstars, filling in as and when needed in many committee roles! (currently Chris Johnstone and a Vacancy).
